Meeting Minutes May 30 , 2005

Meeting was called to order at 7:00 pm by Donna

Minutes of the previous meeting were passed out and comments requested.

Committee Update Reports

Designated Driver Program – Summer list given out. Val does not think that she will have time to do this over the summer. Completed one on Saturday and upcoming are Lobster fest and the Police Service golf tournament.

Decorating – Palm trees were requested by Riverview school but only the bottoms seem to be available. They may have to make their own palm leaves. Suzanne contacted Sandy Duncan re cleaning up storage area. Want ot get rid of pile of cores. Vonnie mentioned that they are used for lights in the cat walk. Need to know where things go after tear down. Need more storage space.

Donna noted that a tentative school calendar has been released and Grad will be the 23 / 24 next year and asked Suzanne to book both arenas.

Have enough index cards, playing cards and play money.

Entertainment – All OK Buss and driver confirmed

Food – All going well and on line

Prize Patrol – All going well.

Treasurer – All OK Please send in bills to be paid. No late fees please.

Miscellaneous Items

• Donna gave Terry items for Family Safety night. Inquiry about volunteers for that night and all should be ok there are enough now.
• Tag day this weekend, need more volunteers
• It was indicated that he best way to get a hold of students is the student bulletin board rather than announcements. Steven indicated that the Student Bulletin Board is rarely read in class any more.
• The AIDS committee will be handing out gift bags to grads this year
• Photo package request for Bev Robinson Photo and can be handed into the office and must be handed in by June 15

• There is a sign in for guests in the office.
• Mary asked if outsiders can do grad volunteer and answer was yes.
• Question on Safe Grad points and it was clarified that safe grad points are awarded for Safe Grad functions only
• Steven brought up that he had received permission to do a survey of what time the Grand March would be held and most students indicated they would rather have it at 0830
• It was noted that the survey was not really fair as the implications of what happens if the grand march is delayed was not conveyed. There was a lengthy discussion on this one more time and it was noted that no changes would be made this year but that the committee would be a little more proactive next year in soliciting students wishes.
• It was also noted that it was very poor timing to come to a meeting 3 weeks before the event and simply wish that all the times be changed so that one or 2 could get a dinner reservation.
• Students need to be more responsible and take more ownership at an earlier date of the Safe Grad celebration if they wish to have things organized differently.

.Safe Grad Points System

Explanation on Grad points vrs Volunteer hours. You can only collect grad points at a Safe Grad activity. In order for an activity to be a Safe Grad activity it has to be recognized by the committee. Also a student must fill their volunteer hours before they can collect grad points.

Points are awarded for various activities.

Examples are

Attending a Safe Grad Meeting – 2 points

Baking for a sale or the coffee house – 3 points

Designated Driver 1 point per hour and 5 extra points for the vehicle

Other activities such as ticket sales awarded 1 point per hour of activity.
