Meeting Minutes May 16 , 2005

 

Attendance – Lindsay Desaulnier, Val Gamble, Connie Hunt, Vonnie Major, Jane Tanner, Garth Wintle, Kim Manty, Steven Ernewein, Megan Gadd

 

Meeting was called to order at 7:00 pm by Donna

 

Minutes of the previous meeting were passed out and comments requested.

 

Committee Update Reports

 

Designated Driver Program –  One drive since last meeting which paid $150 but only had to drive one person from the legion to Queen St Station. Upcoming drives are

May 28 – private function, June 4 Lobster-fest and on the 5th at Evergreen Golf Course.

 

Have also had interest to do 2 weddings in the summer but have to ensure we have drivers available and coordinated before a commitment is made.

 

Decorating –  Going well Have to go to the storage unit and see what is there. Riverview school has shown interest in borrowing palm trees. Wondering where they are in their budget and confirmed that they were on line and that there were funds available. The are looking for 2 “director” type chairs to borrow for the decorations. There was a discussion on where to get them and the cost. Donna noted that they will make an announcement to see if anyone has them available in the school.

There was another discussion on the walleye masters coordination and student line up.

 

There was a discussion about the timing of the Grand March. One person expressed that they thought it was being run too early as they could not get dinner reservations on time. It was noted that this had been planned for some time and that the schedule had been discussed at several meetings with no concerns expressed up to now. We will go with the times as they are set in this years plan but will entertain considerations for next year if they are presented in a timely manner.

 

Entertainment – Everything is a go and deposit cheques have been sent out. Have not ehard anything about the bus. Kim noted that she will confirm. Bowling Alley has noted that Arnie Rollins will be there if we need him.

 

Food – All going well and on line

 

Prize Patrol – All going well.

 

Treasurer – All OK Weyerhaeuser cheque has not been received as noted in last moths meeting but it is anticipated soon.

 

Miscellaneous Items

 

  • Up to 175 will be the attendance. Extra Breathalyzer would help in getting everyone through on time. Will try to borrow from police
  • There was a discussion around how grads will be introduced. Mr Victor will be here for that day.
  • We can use the schools portable PA for announcing grads. Steven noted that it is best to use the corded mike with this set up.
  • Will be getting a key to the storage room so decorations can be picked up Sunday
  • Will continue to have Principals Draw which is usually a +/- $500 electronics item
  • School cell phones will be made available
  • Assembly June 2 will outline the itinerary for the night and other items.
  • Photo package request for Bev Robinson Photo and can be handed into the office and must be handed in by June 15

 

Donna noted that she had done up new letters to be included in the report cards and she would like feedback on the content and any grammar/spelling mistakes.

 

.Safe Grad Points System

Explanation on Grad points vrs Volunteer hours. You can only collect grad points at a Safe Grad activity. In order for an activity to be a Safe Grad activity it has to be recognized by the committee. Also a student must fill their volunteer hours before they can collect grad points.

 

Points are awarded for various activities.

 

Examples are

 

Attending a Safe Grad Meeting – 2 points

Baking for a sale or the coffee house – 3 points

Designated Driver 1 point per hour and 5 extra points for the vehicle

Other activities such as ticket sales awarded 1 point per hour of activity.
