Meeting Minutes January 10 , 2005

Meeting was called to order at 7:00 pm by Donna

 

Minutes of the previous meeting were passed out and comments requested. It was noted that a updated phone list has been completed. Copies available to committee heads

 

Committee Update Reports

 

Fund Raising – Half the tickets are out sales are going slowly but surely. Require volunteers to sell at stores. This is usually a Saturday or Sunday and a 2hr commitment. Try to sell your tickets and there are more available from Mrs Laidlaw.

 

Designated Driver Program –  Have made just over $1900.00! and that should be it for now. Adds continue to run on Shaw and expect some more clients as spring approaches.

 

Coffee house – Posters are made up, 2 meetings so far with the last meeting on jan 6 with 10 students. Will be holding another meeting tonight. Donation list is made up and about to begin canvas of business. Will be concentrating on rural business in Eagle River Vermillion Bay etc so in town businesses are not hit twice. Students will be putting up posters etc. Advertising to be done in newspaper and on CKDR (8 adds /day for week) who are donating 1 for 1 adds (we buy one they donate one). Q104 has offered to donate 4 announcements /day as Public service announcements. The hall is booked for the 18th at 1 pm to begin decorating and set up, Baking requested for 10 am on the 19th. Show is on at 7 pm with doors open at 6pm.

Legacy will be providing backup band for performers. Want any interested performer to submit by the 4th of Feb.

A reminder that performers do not have to be music alone, can be dancers, magic etc. Arts council is being approached about items for a silent auction. Will continue to sell computer tickets right up to the draw time.

 

Decorating  Will be meeting tonight right after the general meeting to get the ball rolling

 

Entertainment – No report but believe everything has been booked as she is looking for a cheque to make payments.

 

Food – No report

 

Telephone Committee – continue to be busy

 

School Council Mr. Victor has a question about donation from Weyerhaeuser last year. Marlene and Vonnie to get him the information.

Prize Patrol – Letters to go out in near future.

 

Miscellaneous Items

 

  • We have the Arena contract but note we do not get arena 1 until 8 pm due to Walleye Masters registration. There was some discussion about being able to use part of the arena to line up students for the grand march. Will discuss with arena management. Still lots of time to work out logistics.
  • Question about when we need to get into snack bar. Arrange with minor hockey to get keys and will need to get in to supply items as they are delivered in the day before grad,
  • There was a discussion about where the stage could be set up to allow more parent/picture room/ Decide and draw up floor plan and will discuss.
  • Question about safe grad donations and tax receipt. Donna will check with Mr Victor regarding the process.
  • Still looking for a Safe Grad coordinator for the volunteers for night of grad. Anyone interested please let Donna know.
  • Radio station Q104 ahs expressed an interest in assisting in any way. Asked to be kept in mind when considering items they can help with.
  • Donna suggested that we set out a letter at the spring parent teacher interview directed at grades 9-11 parents encouraging participation in safe grad. It was agreed that was a good idea.
  • Looking for the display poster that was in the library. Student will look to see where it is and if it cannot be found perhaps produce another one.
  • Student expressed a fund raising suggestion of a donation jar similar to others that had been passed around. Donna will check with Mr Victor.

 

 

There was again a question regarding Safe Grad Points and if a business donates cash can they collect points on a students behalf. Answer was that a business will get a tax receipt and that there is no provision for SG points.

 

Safe Grad Points System

There was an explanation on Grad points vrs Volunteer hours. You can only collect grad points at a Safe Grad activity. In order for an activity to be a Safe Grad activity it has to be recognized by the committee. Also a student must fill their volunteer hours before they can collect grad points.

 

Points are awarded for various activities.

 

Examples are

 

Attending a Safe Grad Meeting – 2 points

Baking for a sale or the coffee house – 3 points

Designated Driver 1 point per hour and 5 extra points for the vehicle

Other activities such as ticket sales awarded 1 point per hour of activity.
