Meeting Minutes February 7 , 2005

Meeting was called to order at 7:00 pm by Donna

 

Minutes of the previous meeting were passed out and comments requested.

 

Committee Update Reports

 

Fund Raising – Raised $4700 so far. There are 1600 tickets out there left to sell. Please try to sell the remainder

 

Designated Driver Program   Val not available but adds continue to run on Shaw and expect some more clients as spring approaches.

 

Coffee house – Advertising looked after. Two weeks in the Observer plus CKDR and Q-104. Posters need to be put up in banks etc. Donations have begun to come in.

Work list is made up and in the office. Ruth also has a list. Needs to have an announcement made to get volunteers. Also need to get the drapes from the storage unit. Entertainment is booked with 22-23 people, many not from the high school but from the general community.

 Will continue to sell computer tickets right up to the draw time.

 

Decorating   Suzanne relayed that things are going well. Decorating also needs an announcement regarding a decorating meeting 6-9 Tues Feb 8th.

There was a question regarding reimbursement of funds spent. Answer is to take receipts to Vonnie or Donna and cheque will be cut.

The storage room needs to be cleaned out as it will be moved, however this does not have to be done immediately.

 

Entertainment – Have made contact with local supplier who was overlooked last season to submit additional quote for entertainment. The successful bidder will be contacted. The games have been booked and confirmed

 

Food – No report

 

Telephone Committee – continue to be busy

 

Prize Patrol – Letters are out, prizes and money are coming in with $1350 so far and also

walkie-talkies are being donated.

 

Miscellaneous Items

 

  • DARC grand march should be able to start at 8 pm
  • Weyerhaeuser is doing an article in their in house magazine on safe grad should see it in March issue
  •  

 

 

  • Chair people are reminded to make sure points are submitted fo Laurie as soon as it can be done
  • Prepaid orders for pictures at grad from Beverly Robinson. She has orders from last year that were not picked up.
  • Holly had query regarding a fund raising idea regarding bottles and jars but have decided this will not be done as it is already being done by another group
  • Hat day a possibility for fundraiser
  • NB Office is doing a scrap booking fundraiser Feb 16/05. Posters and flyers should be out soon
  • There will be an assembly near the end of May regarding what to bring to grad. In there it will be encouraging the use of gym type bags rather than garbage bags and that pills must be in original container. Also a reminder to bring extra shoes etc and to pick up gowns the day before.

 

 

Safe Grad Points System

An explanation on Grad points vrs Volunteer hours. You can only collect grad points at a Safe Grad activity. In order for an activity to be a Safe Grad activity it has to be recognized by the committee. Also a student must fill their volunteer hours before they can collect grad points.

 

Points are awarded for various activities.

 

Examples are

 

Attending a Safe Grad Meeting – 2 points

Baking for a sale or the coffee house – 3 points

Designated Driver 1 point per hour and 5 extra points for the vehicle

Other activities such as ticket sales awarded 1 point per hour of activity.
